What You’ll Do
As a Medical Liaison, you will play a key role in creating an environment where patients and families feel supported, safe, and inspired to grow. Your responsibilities include:
Provider & Clinical Support
- Manage and distribute weekly and daily provider schedules.
- Assist RN staff by preparing charts ahead of scheduled provider visits to ensure accurate documentation and efficient workflow.
- Pull and prepare PMP (Prescription Monitoring Program) records and upload/insert into the patient chart.
- Provide patient medical escort and virtual visit support as needed.
- Manage and track provider visit logs to ensure balanced workloads.
- Conduct daily audits of visits and monitor timely documentation closure.
- Support UR feedback processes, including scheduling peer reviews.
- Assist with the closed-notes audit process to ensure compliance with organizational standards.
Scheduling & Coordination
- Coordinate and schedule family visits in partnership with clinical teams.
- Schedule and manage company admissions aligned with provider availability.
- Facilitate provider communication throughout the day to ensure smooth operations.
- Coordinate prompt rescheduling or coverage when a provider is absent or unavailable.
- Help organize visit schedules and collaborate across departments to optimize workflows.
Performance & Compliance
- Complete chart audits to confirm accuracy, completeness, and compliance with BasePoint, state, and payer standards.
- Ensure providers meet required benchmark visit volumes each week and proactively address barriers.
- Track and analyze provider productivity, accountability, and quality metrics.
- Provide regular reports to the Executive Director outlining visit benchmarks, trends, and opportunities for improvement.
- Collaborate with leadership to develop strategies to increase productivity and streamline provider workflows.
- Participate in quality improvement initiatives, audits, and reporting as requested.
- Performance in this role is directly tied to provider productivity and documentation timeliness; success is reflected when providers meet or exceed established visit and documentation benchmarks.

- Demonstrated workflow improvements resulting in reduced delays or bottlenecks.
- Clear operational impact through increased productivity, compliance, and support of program goals.

What We’re Looking For
- 1+ years of medical scheduling experience required.
- 2 years of healthcare office experience preferred.
- Prior experience as a Medical Assistant strongly preferred.
- Strong customer service skills with the ability to multitask and support fast-paced clinical workflows.
