In this role, you will serve as the first point of contact for our organization, creating a positive and welcoming experience for visitors and guests. You will be responsible for managing the front desk operations, providing administrative support, and ensuring the smooth running of our office environment.


Responsibilities:

  • Front Desk Management:
  • Greet and welcome visitors with a warm and professional demeanor.
  • Manage incoming calls, determine the purpose of calls, and direct them accordingly. Take messages as needed.
  • Maintain a welcoming and organized reception area that reflects our professional image.
  • Sort and distribute incoming and outgoing mail.
  • Administrative Support:
  • Assist with scheduling meetings, appointments, and reserving conference rooms.
  • Prepare and distribute office communications, such as emails and memos.
  • Office Organization:
  • Monitor and restock office supplies to ensure seamless operations.
  • Keep the reception area clean and presentable.
  • Coordinate office maintenance and repairs with facilities management.
  • Security and Safety:
  • Monitor access to the office and issue visitor badges.
  • Be aware of safety protocols and handle emergencies as per established procedures.
  • Record Keeping:
  • Maintain records of office expenses and costs.
  • Keep track of visitors and appointments through visitor logs.

Qualifications:

  • High school diploma or equivalent.
  • Minimum of 1 year of experience in a receptionist or customer service role.
  • Excellent communication and interpersonal skills.
  • Professional appearance and demeanor.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Basic knowledge of office equipment (e.g., printers, scanners).
  • Ability to maintain confidentiality and handle sensitive information.


Preferred Qualifications:

  • Associate's degree or certification in office administration or a related field.
  • Experience with customer relationship management (CRM) software or office management systems.
  • Familiarity with basic facilities management tasks.


Salary Range: $15 - $17 per Hour
