Incident Response Exercise Support Specialist

Remote | Full-Time | Incident Readiness

Aviation Safety Solutions is seeking a highly organized and motivated Incident Response Exercise Support Specialist to provide operational, administrative, technical, and logistical support to a comprehensive Incident Response Exercise Program supporting one of our autonomous vehicle clients.


Working under the direction of the Incident Response Exercise Manager, this role supports the planning, execution, documentation, evaluation, and continuous improvement of tabletop exercises, functional exercises, and full-scale drills.


The position serves as a key support resource responsible for exercise logistics, participant management, documentation control, corrective action tracking, reporting, and readiness validation activities. The role requires strong organizational skills, attention to detail, technical proficiency, and the ability to support multiple projects within a fast-paced environment focused on safety-critical operations.


This is a remote position requiring availability Monday – Friday 8 AM – 5 PM PST.

Periodic (possibly quarterly) travel for exercises and program planning sessions. This position is dedicated to our autonomous vehicle client.


Key Responsibilities

Exercise Planning & Execution Support

  • Support the Incident Response Exercise Manager in the planning and execution of tabletop exercises, functional exercises, and full-scale drills.
  • Facilitate tabletop exercises, functional exercises, and full-scale drills by supporting scenario delivery, participant engagement, exercise flow, and administrative coordination under the direction of the Incident Response Exercise Manager.
  • Assist with exercise scheduling, participant management, invitations, registrations, and communications.
  • Support exercise planning meetings and maintain meeting records and action items.
  • Assist with facility coordination, technology setup, audiovisual requirements, and virtual exercise platforms.
  • Support stakeholder engagement activities and participant communications before, during, and after exercises.

Exercise Documentation & Evaluation Support

  • Assist in the development and maintenance of exercise documentation including:
  • Exercise plans
  • Participant guides
  • Facilitator guides
  • Injects
  • Evaluation forms
  • After-action reports
  • Maintain exercise records, document repositories, and version control processes.
  • Support collection and organization of exercise observations, participant feedback, and evaluation data.
  • Assist with exercise performance metrics and dashboard reporting.

Corrective Action & Continuous Improvement Support

  • Track exercise findings, recommendations, lessons learned, and corrective actions.
  • Monitor corrective action status and support follow-up activities.
  • Assist with readiness improvement initiatives resulting from exercise outcomes.
  • Support updates to readiness documentation, procedures, and program materials based on exercise results.

Program Administration & Reporting

  • Support preparation of leadership reports, presentations, and status updates.
  • Maintain organized program records and documentation repositories.
  • Assist with meeting coordination, action item tracking, and follow-up communications.
  • Support quality assurance reviews of exercise materials and program documentation.
  • Assist with program metrics tracking and reporting activities.

Required Qualifications

  • Associate degree in Emergency Management, Public Safety, Aviation, Business Administration, Communications, Education, or related field; equivalent experience may be substituted.
  • 1–3 years of experience supporting training programs, exercises, operations, emergency management, safety programs, project administration, or related functions.
  • Strong organizational and administrative skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Google Workspace, and collaborative technology platforms.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
