Position Summary:

The Donor Services Manager leads the execution of an exceptional fundholder experience at the Athens Area Community Foundation. This position combines relationship management, donor stewardship, and grantmaking operations to ensure donors feel known, valued, and connected to the impact of their philanthropy. The ideal candidate is equally comfortable building relationships, managing details, and creating systems that support excellent service.

 

Position Hours:

  • Full-time; 8:30AM-4:30PM
  • Occasional opportunities to work evening and/or weekends.

 

Supervision: This position reports to the VP, Strategy & Operations. This position supervises the Community Foundation Fellows.  


Success in this role: Success in this role means:

  • Grant and fund disbursements are processed accurately and efficiently.
  • Fundholders receive responsive, accurate, and personalized services.
  • Fundholders deepen their engagement with the foundation over time.


Position Overview:

 General:

  • The Donor Services Manager serves as a primary relationship steward for many of the Foundation's fundholders, ensuring every interaction reflects exceptional care, responsiveness, and trust.
  • Ensure high quality customer service.
  • Maintain a working relationship with the Athens Area Community Foundation Board of Directors.
  • Provide professional support for the President | CEO in working with Board of Directors, Committees, donors, community groups, and organizations.


Operations:

  • Adhere to all policies and procedures for the Athens Area Community Foundation.
  • Adhere to protocol for use of Foundant Software.


Weekly Grant and Fund Expense Cycle:

  • Own the execution of the weekly grant and fund expense cycle to ensure timely, accurate processing and responsive customer service for fundholders. Including but not limited to:
  • Daily initiation of all grants and/or fund expense/disbursements as received by fundholders,
  • Weekly execution of due diligence and approvals in coordination with the Director of Grantmaking & Scholarships and the Vice President, Strategy & Operations,
  • Identify and resolve donor issues in accordance with our governing policies and procedures.


Fundholder Experience Execution:

  • Own the day-to-day execution of fundholder touchpoints to ensure consistent, high-quality service and alignment with organizational standards, including but not limited to:
  • Leading the New Fund Welcome Process with timely and exceptional customer service throughout the first-year onboarding with new fundholders,
  • Engaging and supporting fundholders and prospects through the execution of donor engagement events (Community, Conversation, Philanthropy; Volunteering; Tours; Check Deliveries) as directed.
  • Utilizing defined portfolio segments to connect and engage appropriate staff for prospects reaching out via the website, office phone, and general email inquiries.
  • Display sincere care for donors and a desire to help their giving.
  • Create joy in giving.


Donor-Advised Fund Portfolio Stewardship:

  • Own the stewardship and ongoing management of a portfolio of Donor-Advised Fundholders to maintain strong relationships, donor intent alignment, and timely communication through:
  • Proactively anticipate donor needs and requests.
  • Proactively and regularly connect with your portfolio of fundholders,
  • Consistently move through Opportunities to track interactions and growth in assets.


Agency Fund Portfolio Stewardship:

  • Own the stewardship and ongoing management of Agency Fund portfolios to ensure compliance, relationship quality, and alignment with fund agreements.
  • Responsibilities include, but are not limited to:
  • Providing professional support to the President | CEO in developing board presentations, stewardship reports, and other communication pieces to current and prospective nonprofit fundholders,
  • Providing professional support to the Vice President, Strategy & Operations in executing an annual stewardship event for nonprofit fundholders,
  • Conducting one-on-one stewardship meetings with a portfolio of nonprofit fundholders, and
  • Coordinating special touchpoints with nonprofit fundholders throughout the year, in line with our fundholder experience.


Fellows Program:

  • Own the design, execution, and outcomes of the Foundation Fellows Program by leading, managing, and hold accountable two part-time student fellows each semester to develop mission-aligned community leaders. Responsibilities include, but are not limited to:
  • Promoting fellowship openings, leading interviews, selecting and onboarding student fellows each semester,
  • Weekly one-on-one check-ins and ongoing supervision of fellows, and
  • Exit interviews and development of an alumni program for Foundation Fellows.

Ideal Skills and Qualifications:

  • Bachelor’s degree in relevant field
  • Openness and willingness to consistently learn
  • Possess strong computer skills with proficiency in Microsoft applications

  • Excellent written and oral communication skills, ability to present to and effectively work with various stakeholders
