The Executive Assistant provides high-level administrative, operational, and strategic coordination support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), and executive leadership team of the Association of Cancer Care Centers (ACCC). This role is responsible for managing executive schedules, coordinating leadership meetings and governance activities, facilitating communications, and supporting day-to-day executive operations across the organization. Working closely with executive leadership and cross-functional teams, the Executive Assistant ensures efficient coordination of meetings, communications, projects, and organizational priorities. The role manages executive logistics, board and committee support activities, leadership communications, and administrative workflows while maintaining professionalism, discretion, and confidentiality in all interactions. This position combines executive-level administrative support with organizational coordination and operational oversight, ensuring leadership initiatives, communications, and strategic activities are executed effectively and efficiently. The Executive Assistant serves as a key organizational partner by supporting executive operations, improving workflow coordination, and helping maintain alignment across leadership, staff, board members, external partners, and stakeholders. POSITION SUMMARY

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), and members of the executive leadership team. This role is responsible for managing executive schedules, coordinating leadership meetings, facilitating board and committee activities, and ensuring efficient administrative operations across the leadership team.


The Executive Assistant serves as a key organizational coordinator who supports executive priorities by managing logistics, communications, and information flow between leadership, staff, board members, external partners, and stakeholders. The role requires exceptional organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism and confidentiality.


This position plays an important role in ensuring the effectiveness of the leadership team by supporting strategic initiatives, coordinating executive communications, and maintaining operational efficiency across the organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES

The responsibilities listed below represent the primary functions of the role and include, but are not limited to, the following.

Executive Support

  • Manage complex calendars and scheduling for the CEO, COO, and senior leadership team members.
  • Coordinate internal and external meetings, ensuring agendas, materials, and logistics are prepared in advance.
  • Prepare and organize briefing materials, presentations, and reports for executive meetings.
  • Draft and edit correspondence, communications, and documents on behalf of the leadership team.
  • Manage travel arrangements and expense reporting for executives when required.

Leadership Team Coordination

  • Coordinate leadership team meetings, including scheduling, agenda development, and distribution of materials.
  • Record meeting notes and track action items to ensure follow-through on leadership decisions.
  • Facilitate communication and coordination among leadership team members and across departments.
  • Support planning and logistics for organizational leadership meetings, retreats, and strategic planning sessions.

Board & Governance Support

  • Assist with coordination of board meetings, executive committee meetings, and other governance activities.
  • Prepare and distribute board meeting materials and maintain board documentation and records.
  • Coordinate meeting logistics, scheduling, and communications with board members and volunteer leaders.
  • Support governance-related processes including board onboarding and meeting follow-up.

Administrative Operations & Organizational Support

  • Maintain executive files, documents, and records in an organized and secure manner.
  • Manage incoming communications for the executive office and route inquiries appropriately.
  • Support internal administrative processes and coordination across departments.
  • Assist with preparation and coordination of organizational announcements and internal communications.

Project & Initiative Support

  • Provide administrative support for key organizational initiatives led by the executive team.
  • Track progress of leadership initiatives and assist with coordination of project tasks and timelines.
  • Support preparation of materials for presentations, conferences, and external engagements.

Stakeholder & Partner Coordination

  • Serve as a point of contact for external partners, vendors, and stakeholders interacting with the executive office.
  • Coordinate communications and meeting logistics with external partners and organizational collaborators.
  • Ensure professional and responsive interactions with members, partners, and leadership stakeholders.

Travel requirement: minimal travel, typically less than 5%.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree preferred or equivalent professional experience.
  • Minimum five (5) years of experience providing executive-level administrative support.
  • Experience supporting senior leaders, boards, or executive teams preferred.

Preferred:

  • Experience working in a nonprofit, healthcare, or association environment.
  • Experience supporting board governance processes.
