The Event Coordinator, Education Programs is responsible for supporting the planning, coordination, and execution of ACCC’s educational meetings, conferences, webinars, and related programming initiatives. This role combines event coordination, project management, logistics support, and cross-functional collaboration to help ensure the successful delivery of high-quality educational experiences for oncology healthcare professionals and multidisciplinary audiences. Working closely with internal teams, faculty, vendors, venues, and external stakeholders, the Event Coordinator assists with event timelines, registration processes, speaker coordination, logistics management, and day-to-day program operations. This position plays an important role in maintaining operational excellence, supporting participant engagement, and helping facilitate the seamless execution of ACCC educational initiatives. Travel: Approximately 10–30% (national conferences and site visits)

POSITION SUMMARY

The Event Coordinator supports the planning, coordination, and execution of ACCC’s in-person event portfolio, including national conferences, regional meetings, specialty summits, and leadership programs. This role plays a critical operational support function within the Education team, ensuring high-quality attendee, faculty, exhibitor, and sponsor experiences. Working under the direction of the Director, Events, the Event Coordinator manages logistics, timelines, vendor communications, registration processes, and on-site execution details. The position collaborates closely with internal teams including Education, Clinical Content, Communications, Membership, and Corporate Development to ensure events are delivered on time, on budget, and aligned with ACCC’s strategic and educational objectives. This is a detail-driven, execution-focused role requiring strong organizational skills, proactive communication, and the ability to manage multiple concurrent priorities.


ESSENTIAL DUTIES AND RESPONSIBILITIES

The responsibilities listed below represent the primary functions of the role and include, but are not limited to, the following:


Event Planning & Logistics

·      Support planning and execution of national and regional in-person events.

·      Maintain detailed project timelines and task trackers to ensure deadlines are met.

·      Coordinate venue logistics including meeting room setups, audiovisual needs, catering, and signage.

·      Assist with site selection research and participate in site visits as needed.

·      Manage event registration systems, attendee lists, and reporting.

·      Prepare and organize event materials, including agendas, badges, signage, and onsite documentation, in collaboration with other internal teams (eg marketing).


Faculty & Speaker Coordination

·      Coordinate faculty communications, timelines, and deliverable tracking.

·      Collect and review presentation materials to ensure timely submission.

·      Assist with travel arrangements and reimbursement documentation for speakers as needed.

·      Prepare speaker briefing materials and onsite support documents.


On-Site Event Support

·      Travel to assigned events to support onsite execution.

·      Manage registration desk operations and attendee inquiries.

·      Coordinate with vendors and venue staff to resolve real-time issues.

·      Ensure smooth session transitions and adherence to program schedules.

·      Support post-event teardown and reconciliation processes.


Cross-Functional Collaboration

·      Work closely with the Communications team to ensure accurate program information is reflected in promotional materials and on event webpages.

·      Provide event updates and logistical details to internal stakeholders.

·      Coordinate with Corporate Development regarding sponsor deliverables and onsite logistics.

·      Collaborate with Membership and Education teams to support attendee engagement initiatives.


Financial & Administrative Support

·      Assist with tracking event budgets and expense documentation.

·      Process invoices and maintain vendor payment records.

·      Maintain organized digital files and documentation for each event.

·      Support post-event reconciliation and reporting.

 

Data & Evaluation

·      Compile attendee evaluations and assist in preparing summary reports.

·      Track registration trends and attendance metrics.

·      Support implementation of post-event improvement initiatives.


Travel requirement: approximately 10–30% depending on event schedule. Occasional evening or weekend work required during event production cycles.


SUPERVISORY RESPONSIBILITIES

This position does not have direct supervisory responsibilities but may oversee temporary staff, volunteers, or onsite contractors during event execution.

EDUCATION AND EXPERIENCE

·      Bachelor’s degree required.

·      Minimum of three (3) to five (5) years of event coordination experience in a healthcare association, medical society, nonprofit, or similar environment preferred.

·      Experience supporting national conferences or sponsor-supported meetings preferred.

·      CMP or working towards CMP a plus

Salary Band:

$52,000-$78,000
