We are seeking a highly organized, proactive Executive Assistant to directly support the CEO. This role ensures the CEO’s time, priorities, and information flow are managed with clarity and discipline, enabling effective decision-making and consistent execution. The role focuses on four core areas: executive prioritization, meeting preparation and follow-through, travel and logistics coordination, and day-to-day operational support. The ideal candidate is detail-oriented, highly discreet, and comfortable operating independently in a fast-paced environment. Strong performers can grow into broader executive operations or chief of staff support responsibilities over time. Applicants must be able to support the demands of the executive's weekly routine. Evenings and weekends are often active work periods with frequent engagements. Given that the position’s key responsibility is helping manage the CEO’s schedule effectively, the Executive Assistant should be aware of those hours.

Description

Key Responsibilities                                                                                         

Calendar & Scheduling

  • Organize and coordinate team-wide meetings, partner calls, and HQ visits
  • Own and manage the CEO’s calendar, prioritizing key engagements and responding efficiently to scheduling requests
  • Track executive travel plans and make necessary adjustments to internal meetings

  Communications & Inbox Management

  • Proofread company-wide messaging drafted by or on behalf of the executive
  • Respond to emails and distribute materials from the executive’s inbox upon request
  • Track engagements and assist CEO with follow through on action items

Internal Operations

  • Brief the executive daily with a summary of the agenda and tasks
  • Organize team huddles and logistical operations at HQ
  • Welcome guests to HQ and facilitate introductions to executive team

Investor Relations

  • Track investor progress and log engagements with potential partners in CRM
  • Provide relevant background on potential investors and partners prior to meetings
  • Assist Head of Marketing with preparation of quarterly Investor Update

Stakeholder & Team Coordination

  • Serve as the first point of contact for requests from team members
  • Proactively communicate with the executive to maintain alignment
  • Capture meeting outputs and oversee delegation and execution of action items


Key Skills & Qualifications                                                                            

Required:

  • Strong written communication skills tailorable to various professional audiences
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and Claude
  • Ability to manage multiple priorities independently; coordinate calendars and logistics across teams and time zones
  • Demonstrated experience supporting a founder or executive in a fast-paced environment, or equivalent high-responsibility experience
  • Capable of learning the protocol associated with meetings involving military officers and government officials

Preferred:

  • Experience with or willingness to learn a CRM platform (Microsoft Dynamics)
  • Knowledge of the defense technology industry or military procurement processes
  • Familiarity with handling Controlled Unclassified Information (CUI) and operating under Non-Disclosure Agreements (NDAs)
  • Ability to prepare presentations, briefing materials, and meeting documentation for executive-level use

All employees receive advance notice of our company-wide breaks each year, which include a two-week winter shutdown, a one-week summer break in early July, and a Wednesday through Friday break over Thanksgiving. Full-time employees receive these breaks as paid time off. In-office employees also receive DoorDash-provided lunches four days per week, up to a daily limit, and all employees receive free DashPass.
