The Office Manager would be a go to person to help manage adminstrative tasks in the office including handling inquiries from new clients via the website or call, assisting clinicians keeping their schedule full, assisting the CEO and Billing Manager to keep processes smooth.

Apple Tree Counseling LLC is looking for a private practice office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This employee could work in office 4 days a week, 10 am to 4 pm Monday-Friday, and otherwise remotely work 1 day a week. The position enables the employee to maintain a somewhat flexible schedule and would be paid hourly. A minimum of 25 hours a week is needed, but with increased revenue and the demonstrated ability to multitask and innovate, there could be growth to full time.


Apple Tree Counseling is a small private practice made up of 5 licensed Counselors, several Residents in Counseling, interns as well. We are a mix of employees and contractors whose schedules remain fluid and we sometimes pass like ships in the night! Office manager duties and responsibilities include scheduling meetings and intake appointments, managing client information ensuring HIPAA compliance with all PHI, checking insurances, coordinating meetings for the CEO, help building relationships with community partners, manage communication between admin and clinical staff, and providing general administrative support to our employees. Previous experience as a billing coordinator, Front office manager or Office administrator is a must. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases), be very detail oriented, flexible, a VERY good multitasker, and be able to accurately handle large amounts of data and administrative duties. A technology savvy person with experience in Google Workspace/G suite would thrive here! Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
