Responsibilities:
Office Operations & Facilities
- Set the tone each morning as the first person in the office - coffee brewing, playlist on, space clean and stocked with snacks and drinks.
- Own office organization end-to-end: ordering supplies, arranging catering for meetings and gatherings, and managing vendors with minimal oversight.
- Own day-to-day office access - issuing and deactivating badges and keys.
Hospitality, Client Experience & Culture
- Be the welcoming face of the office for visiting clients, vendors, and new employees, keeping the space tidy and hospitable throughout the day.
- Host clients and guests during office visits and meetings - coordinating setup, refreshments, and a great first impression.
- Organize team lunches and other in-office hospitality touches.
- Handle logistics for team events, offsites, and celebrations, including venue booking and coordination.
Recruiting & Onboarding
- Coordinate with recruiters on interview scheduling - staying on email threads alongside the Director, People and Agency Operations to keep candidates moving through the process.
- Partner with the Director, People and Agency Operations to build a thoughtful first-two-week onboarding agenda for every new hire.
- Prep new hires' desks and workstations before day one - chair, monitor, keyboard, and any welcome materials.
- Partner with IT to ensure hardware is prepped and ready before each new hire's start date.
- Coordinate building access for new hires - badges and parking - with building management.
- Own the first-day logistics and office orientation: tour, intros, seating, and showing new hires where things are.
Asset & Equipment Management
- Maintain all agency hardware - tracking who has what, coordinating returns during offboarding, and
- Assign equipment to new hires based on their role and available inventory, and flag when supply needs replenishing.

- You represent Ammunition with integrity in all interactions with internal and external stakeholders and enjoy fostering relationships.
Physical Requirements:
This role has physical requirements the Office Manager must be able to meet, with or without reasonable accommodation, including:
- Moving furniture, boxes, and office assets up to 25 lbs (laptops, monitors, extra chairs, deliveries), including bending, reaching, and kneeling.
- Light cleaning - wiping surfaces, cleaning glass doors, spot vacuuming conference rooms, and straightening furniture.
- Organizing cabinets and closets, including stocking snacks and supplies.
- Coordinating deliveries from the parking deck/delivery area to the office via push cart.
- Standing or remaining on your feet for roughly half the day, and remaining stationary for the other half.
