Job Description: Practice Coordinator
We are seeking a highly organized and motivated Practice Coordinator to ensure the smooth operations of our plastic surgery practice. As the Practice Coordinator, you will be responsible for overseeing the daily practice and patient flow, resolving insurance and financial issues, and managing the scheduling of appointments. Your role will also involve maximizing resources to achieve patient satisfaction and practice goals, as well as maintaining the master calendar for all office locations.
Key Responsibilities:
- Oversee the daily operations of the practice and ensure they align with our mission and practice values.
- Resolve insurance, financial, and scheduling issues on a daily basis.
- Maximize resources to achieve patient satisfaction and meet practice goals.
- Maintain the master calendar for all office locations, making necessary adjustments and communicating changes to those affected.
- Monitor staff workload and hold them accountable for daily performance.
- Address policy issues in a timely manner and lead and motivate staff to achieve excellent performance standards.
- Coordinate staff training and recommend necessary training to doctors.
- Prepare and analyze practice performance reports, providing recommendations for improvement.
- Perform quality checks of patient records and ensure compliance with OSHA regulations.
- Coordinate all staff training and prepare content for monthly administrative days.
- Manage staff paid time off requests and maintain the master calendar.
- Assist with basic accounting and financial transactions for the practice.
- Collaborate with the Marketing Manager on marketing efforts and patient promotions.
- Stay updated with professional knowledge through affiliations and continuing education programs.
- Ensure office compliance with company protocols and state regulatory agencies.
- Coach and shadow team members in areas of patient service, insurance benefits, and complaint handling.
- Conduct staff evaluations.
- Demonstrate exceptional problem-solving, interpersonal, and management skills.
- Participate in medical office emergency routines when required.
- Navigate software without assistance.
- Represent the practice in a professional and pleasant manner.
- Maintain regular attendance and adhere to assigned work schedules.
- Must be flexible and excel in forward thinking.
- Work rotating on-call schedules, including holidays, evenings, or weekends.
- Coordinate equipment repairs.
- May be required to travel between office locations.
Requirements:
- Knowledge of CDT codes preferred but not required.
- Comfortable in a fast-paced and quickly changing environment.
- Strong organization, interpersonal, and communication skills.
- Excellent customer service and leadership skills.
- Associate's or bachelor's degree from an accredited college or university preferred.
- CPR Certification.
- Minimum three (3) years of management experience, preferably in a medical office.
- Ability to sit, stand, and walk for extended periods of time.
- Ability to lift up to 25 pounds.
- Excellent speaking and listening skills.
- High finger dexterity for computer work.
- Proficiency in general office equipment and computer usage.
