About the Role

American Alchemy is looking for an early-career Executive Assistant & Operations Coordinator to support day-to-day logistics, planning, coordination, and social media operations for American Alchemy.


This role works directly with the Chief of Staff and COO to keep schedules, projects, content workflows, communications, and operational details organized. The right person is highly organized, proactive, reliable, detail-oriented, and excited to grow within a fast-moving podcast and digital media environment.


What You’ll Do

  • Manage scheduling, calendars, meetings, reminders, and follow-ups.
  • Support guest coordination, booking logistics, prep materials, and communications.
  • Assist with production planning, timelines, checklists, and deliverables.
  • Track project status across episodes, clips, trailers, social posts, and content assets.
  • Coordinate with editors, producers, contractors, guests, and internal team members.
  • Help organize social media calendars, posting schedules, and content workflows.
  • Draft, schedule, or coordinate social posts as needed.
  • Track basic content performance, audience engagement, and social media metrics.
  • Maintain files, documents, notes, folders, trackers, and shared materials.
  • Prepare agendas, meeting notes, action items, and follow-up summaries.
  • Help improve systems, templates, SOPs, and recurring processes.
  • Support logistics for recordings, events, launches, collaborations, and team priorities.


Basic Requirements

  • 1–2 years of professional experience in executive support, operations, coordination, administration, social media, production, media, or a related role.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, deadlines, and priorities at once.
  • Comfortable working with calendars, documents, spreadsheets, and digital tools.
  • Reliable computer and internet access.


Preferred Requirements

  • Bachelor’s degree preferred or equivalent years of experience in lieu.
  • Experience supporting an executive, founder, creator, media company, podcast, production team, or digital brand.
  • Familiarity with podcast, YouTube, newsletter, or social media operations.
  • Experience with social media scheduling, content calendars, and platform management.
  • Ability to track and summarize basic performance metrics.
  • Experience with tools such as Google Workspace, Notion, Airtable, Asana, Trello, Slack, Dropbox, Frame.io, Canva, Later, Buffer, or similar platforms.
  • Strong research skills and ability to synthesize information clearly.
  • Experience coordinating with creative contractors, editors, designers, producers, or guests.
  • Ability to create simple systems, SOPs, checklists, and trackers.
  • Interest in UFOs/UAP, consciousness, frontier science, hidden history, philosophy, mysteries, or similar subject matter.


Compensation

  • $45,000–$55,000/year, depending on experience and fit.
