Full Time Administrative Assistant for a Property Management office.

GENERAL DESCRIPTION OF POSITION

Full-time position working 40 hours/week. Responsible for duties as outlined below. Assist staff with tasks not outlined below as needed.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answering phones – including checking and responding to voicemails
  • Respond to emails within 24 hours (with the exception of weekends and holidays)
  • Directly interact with walk in inquiries
  • File keys and remotes
  • Process maintenance requests
  • Scan, E-File and maintain office E-Files
  • Maintain Office Calendar
  • Collect and process Rental Applications
  • Process move-in & move-out work flow
  • Retrieve and process mail
  • Process outgoing mail - weigh and place correct postage
  • Tenant/Owner correspondence – violation letters, reminders, past due notices
  • Assist Property Manager and/or Office Manager with special projects
  • Direct and complete the flow of paper in office
  • Assist staff with any special projects
  • Keep track of office supplies
  • Keep all areas in office neat and clean – including kitchen area


QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Driver's license required.


EDUCATION AND EXPERIENCE

High School Graduate, some college work preferred. Broad knowledge of Orange County or San Diego County area and some general home maintenance understanding.


COMMUNICATION SKILLS

Ability to effectively communicate verbally and respond to questions in person, with small group situations with customers, clients, general public, and other employees of the organization.


CRITICAL THINKING SKILLS

Ability to solve practical problems. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.


SOFTWARE SKILLS REQUIRED

Basic: Alphanumeric Data Entry, Microsoft Office (Excel, Word, Outlook), Spreadsheet, Word Processing/Typing, Internet Browser

Salary

$16.5 - $20 per hour
