About this Role


The Member Events Manager oversees and administers the event planning and implementation process, including event project management, managing budgets, creating timelines and project plans and leading planning meetings to drive toward event goals. The Member Events Manager collaborates with CEO, clients, and vendors to drive toward deliverables, and keep stakeholders informed. He/she will design engaging relevant event experiences that resonate with attending audiences and achieve key business objectives for internal and external audiences. The Manager will identify and target success measures and evaluate all major events against objectives, recommending areas for improvement. The role requires prior experience (5-7+ years) leading, managing, and executing events and meetings and it is a ground-floor opportunity to be a part of building the customer services function at ALLY.


This role reports to the Director of Customer Success and Operations and will interface with the CEO.

 

What you’ll do


  • Oversee and administer the event planning and implementation process, including event project management, managing budgets, creating timelines and project plans and leading planning meetings to drive toward event goals.
  • Collaborate with business to drive toward deliverables, and keep stakeholders informed
  • Possess exceptional time management and organizational skills with a consistent record of success in planning, managing, and completing multiple events simultaneously.
  • Designing engaging relevant event experiences that resonate with attending audiences and achieve key business objectives for internal and external audiences.
  • Research and recommend prospective event themes, venues, and accompanying specifications, including development of event budgets
  • Manage vendor relationships with contacts from program venues and event and destination management companies
  • Communicate clearly and concisely, both, orally and in writing and you demonstrate strong critical thinking and active listening skills.
  • Developing success measures and evaluate all major events against objectives, recommending areas for improvement.

 

Partnership Development/Industry

 

Event Strategy

·      Create short to long-term strategic direction and vision for ALLY Energy

·      Collaborate in the development of themes, features, promotions, and revenue-earning opportunities.

·      With other departments, create a clear event plan, in line with the overall event vision. Develop and monitor event plans to ensure alignment with the business vision.

·      Responsible for the entire event process including input on sales strategies, business and marketing plans, and cost controls.

 

Sales/Marketing

·      Work with sales and marketing leads to design and deliver the event execution plan on time.

·      Maximize revenue opportunities and deliver on overall sales revenues (exhibits/sponsorships).

·      Oversee budget and ensure costs are controlled and managed effectively, including focus on cost savings.

 

Operations/Financial Management

·      Collaborate with peers and ALLY Energy clients

·      Manage the meeting logistics for events: Energy Workforce of the Future, Energy 2.0, GRIT Awards, and Best Energy Workplaces and four quarterly meetings.

·      Manage the logistics for our annual ALLY Academy: workshops and coaching sessions online for members.

·      Research, evaluate, negotiate with, establish, and maintain relationships with preferred contractors and vendors including, but not limited to, decorating, catering, shuttle, security, contract labor, floral, photography, tenting, and other related activities in support of the conference and exhibition.

·      Provide sound business decisions to ensure expense control.

·      Compile estimated costs, submit final budgets, track budget statistics, and prepare management reports.

·      Assess financial and logistical outcomes following each event.

 

What you bring:


  • Bachelor’s degree
  • Planning meetings and conventions with an attendance of 250-1000 (5 or more years experience)
  • Negotiating contracts with hotels and vendors from various industries (5 or more years experience)
  • Project management experience with strong planning and organization skills - detail oriented with the ability to prioritize, establish, and meet deadlines
  • Leadership skills with supervisory responsibilities for at least one other team member
  • Excellent communication skills (verbal and written) – this position involves consulting with a range of professionals including major clients, sponsors, participants, sub-contractors, suppliers, and other departments
  • Fiscal responsibilities with the ability to examine invoice and budget details, compile estimated costs, and prepare management reports
  • Building strong collaborative relationships with customers, members, department heads, and vendors.
  • Excellent technology skills
  • Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)
  • Knowledge of Client Relationship Management (CRM) software, Hubspot
  • Strong written and verbal communication and proofreading skills
  • Strong organizational skills
  • Strong motivational and leadership skills
  • Ability to communicate effectively with chief-level executives, members of government, and partners as well as outside vendors
  • Ability to work independently and under own direction and initiative
  • Ability to travel and oversee events operations outside of the primary office, as needed

 

Required Qualifications

 

·      Exceptional written and oral communication skills

·      Excels at delegating tasks, follow-up, and follow-through

·      Excellent organizational and leadership abilities

·      A good understanding of the Energy sector is preferred, but not required

·      Ability to work under pressure with minimal supervision

·      Ability to attend events/meetings as needed including some evening events (mostly local to Houston)

·      Willingness to work overtime, as required

·      Willingness to travel up to 10%
