Administrative Assistant

Location: All Is Well Holistic Spa – 2001 Katy Mills Blvd, Suite I, Katy, TX 77494

Type: Full-Time / Part-Time (20–45 hours per week)

Compensation: $18–$25 per hour (based on experience and skills)

We are seeking a highly capable Administrative Assistant to support back-end operations, HR coordination, and digital system workflows with precision and calm professionalism.

Position Summary

This role requires someone who is detail-oriented, tech-savvy, and highly organized. The ideal candidate will support HR functions, client services, documentation, and day-to-day operations—playing a vital role in the spa’s overall efficiency and client satisfaction.


Core Responsibilities

Administrative Operations


  • Maintain organized digital and physical documentation
  • Process receipts, forms, and internal paperwork
  • Audit employee and client records for accuracy and compliance

Human Resources & SOPs


  • Assist with employee onboarding and training
  • Create and maintain standard operating procedures using SweetProcess or Scribe
  • Regularly update staff workflows and internal checklists

Client & Membership Support


  • Manage EFTs, cancellations, account freezes, and client communications
  • Maintain accurate client records and assist with service scheduling

Spa Operations & Inventory


  • Support opening and closing procedures
  • Conduct inventory audits and perform data entry using Meevo POS

Finance & Payroll Support


  • Assist with payroll preparation and documentation
  • Support basic bookkeeping, accounts payable, and reconciliation tasks

Required Technical Proficiency

Applicants must be fully proficient in the following tools and platforms:


  • Adobe Acrobat Pro (advanced use: form creation, document merging, editing)
  • Canva Pro (basic graphic design for spa promotions, signage, and documents)
  • Microsoft Office Suite (Word, Excel, Outlook)
  • Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
  • OneDrive (cloud-based document management)
  • ChatGPT (for drafting, content organization, and process support)
  • Monday.com (task and project management)
  • SweetProcess or Scribe (SOP documentation and training guides)
  • Dual Monitor Workstations (provided on-site for efficient multitasking)

Preferred Qualifications

  • Associate degree (required)
  • 2+ years of experience in administration, HR, or executive support
  • Familiarity with Meevo POS, QuickBooks, Slack, Loom, and Canva is a plus
  • Strong time management, multitasking, and organizational skills
  • Professional demeanor with clear communication and tech fluency
