Role Overview
As a Client Service Associate, you will serve as the key liaison between clients, custodians, and internal teams—ensuring accuracy, responsiveness, and a personalized approach to client service. The position is crucial in helping advisors deliver white-glove service while ensuring operational excellence.
Roles And Responsibilities
● Serve as a point of contact for clients and outside advisors regarding account maintenance, documentation, and operational inquiries.
● Foster strong client relationships through proactive communication, timely follow-ups, and exceptional service.
● Assist in the client onboarding process, including account opening, funding and transitions from custodians, as well as ongoing data maintenance (including KYC and AML documentation).
● Prepare reports, performance summaries, and compliance documents as needed.
● Manage day-to-day client transactions such as money movements, account transfers, check requests, and wire instructions.
● Liaise with custodians and other third-party providers to resolve service issues efficiently.
● Coordinate information requests for investments and other business activities with clients and outside advisors.
● Maintain client files and records, including updating CRM systems (e.g. contact information, non-financial assets, meeting notes).
● Document tracking and management along with signature coordination of various paperwork via DocuSign (e.g. engagement agreements, letters of authorization, account paperwork, tax documents and returns).
● Research and answer client questions related to investment account activity, balances, and other service requests.
● Other duties as assigned by management.
Qualifications
● One to three years relevant work experience.
● Requires strong interpersonal, organizational, and communication skills, along with proven problem-solving abilities, effective prioritization and project management capabilities, and a proactive approach to work.Interest in a growth-oriented environment.
● Ability to maintain extreme confidentiality in dealing with client matters.
● Attention to detail and task management must be a strength.
● Preferred experience with Salesforce.
● Familiarity with the Schwab and/or Fidelity custodial platforms preferred, but not required.
● Must consent to and have a favorable background check.
