Remote Virtual assistant
As a Remote Executive Assistant at Rowan Helping Ministries, you will be the linchpin supporting our executive leadership team. Your role will involve managing schedules, coordinating communications, and assisting with project management, all while ensuring the smooth operation of our executive office. Your organizational skills and proactive approach will be essential in helping us maximize our impact and continue to serve our community effectively.
Responsibilities:Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents as needed.
Act as a liaison between the executive team and internal/external stakeholders, handling inquiries and communications with professionalism and discretion.
Organize and coordinate virtual meetings, including setting up technology, preparing agendas, and recording minutes.
Assist with project management tasks, including tracking progress, managing deadlines, and preparing status reports.
Maintain and update executive files and records, ensuring confidentiality and accuracy.
Coordinate special projects and events, including donor meetings, board meetings, and community outreach initiatives.
Handle expense reports and manage budgets for executive-related activities.
Conduct research and gather information to support decision-making and strategic planning.
Provide support for other administrative tasks as required to ensure the efficient operation of the executive office.
Requirements:
Proven experience as an executive assistant, administrative assistant, or similar role, with a strong track record of supporting senior-level executives.
Exceptional organizational and time-management skills, with the ability to prioritize tasks and handle multiple responsibilities.
Proficiency in office productivity software (e.g., Microsoft Office Suite, Google Workspace) and virtual collaboration tools (e.g., Zoom, Slack).
Strong written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
High degree of discretion and confidentiality, particularly with sensitive information.
Ability to work independently and efficiently in a remote work environment, while maintaining strong communication with the team.
Experience with project management and coordination is a plus.
Bachelor's degree in Business Administration, Communications, or a related field is preferred.
