Job Description:

Position Overview: The Onboarding Specialist will be responsible for guiding new clients through the onboarding process, collecting necessary documents, and ensuring a smooth transition into our case processing system. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Serve as the primary point of contact for new clients during the onboarding process.
  • Explain the internal processes and steps involved in their case.
  • Collect, review, and organize all necessary documents required for case initiation.
  • Ensure that all client information is accurately entered into our case management system.
  • Provide clients with regular updates on the status of their onboarding process.
  • Address any client questions or concerns promptly and professionally.
  • Collaborate with legal and administrative teams to ensure a seamless handoff of cases.
  • Maintain thorough and organized records of all client interactions and documents.
  • Assist in the development and improvement of onboarding procedures and materials.

Key Performance Indicators (KPIs):

  • Client Satisfaction Rate: Measure client feedback to ensure high levels of satisfaction during the onboarding process.
  • Document Collection Efficiency: Track the time taken to collect all required documents from clients.
  • Onboarding Completion Time: Monitor the average time taken to complete the onboarding process for each client.
  • Accuracy Rate: Ensure that client information and documents are accurately entered and organized within the case management system.
  • Communication Response Time: Maintain a prompt response time to client inquiries, aiming to respond within 24 hours.
  • Process Improvement Contributions: Regularly provide feedback and suggestions for improving the onboarding process and materials.


  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Previous experience in customer service, client relations, or a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in using case management systems or CRM software.
  • Empathetic and patient approach to client interactions.
  • Knowledge of immigration processes is a plus, but not required.
