We are seeking a detail-oriented Finance and Administration Assistant to start as a 3-month intern with potential for long-term growth. You will support daily financial operations and general office administration under the guidance of our Finance Manager. This role requires an organized individual who thrives in a digital-first environment using APLOS, SharePoint, and Google Workspace.

The African Youth and Community Organization (AYCO) is a nonprofit organization based in Portland, Oregon, dedicated to empowering immigrant and refugee families through culturally responsive education, youth development, and community engagement. AYCO’s Early Learning Program at Wilkes Elementary operates under Multnomah County’s Preschool for All (PFA) initiative, which provides free, inclusive, and high-quality preschool education to 3- and 4-year-old children across the county.

Location: Fully On-Site (Portland, OR area)

Term: Starting as a 3-month internship – Possibility of transition to permanent hire based on performance

Key Responsibilities


Financial Tasks & Data Entry

  • Transaction Recording: Input all bank and credit card transactions into a shared Excel file daily.
  • Document Management: Collect financial invoices, receipts, and documents from external vendors.
  • Digital Filing: Upload collected documents into SharePoint and APLOS accounting systems.
  • Check Processing: Record all incoming physical checks into the system and upload details using Google Forms.
  • Bank Deposits: Travel to the local bank to safely deposit all received physical checks.
  • Cycle Support: Assist with administrative tasks for month-end and year-end closing cycles.


Administrative & Communication Support

  • Incoming Mail Processing: Receive, open, organize, and distribute incoming mail to the correct recipient, occasionally scanning documents digitally.
  • Program Collaboration: Partner with program managers and staff to review purchasing and gift card requests.
  • Approval Tracking: Verify internal approvals and documentation for all department requests before processing.
  • Inbox Management: Monitor and professionally answer email inquiries from internal staff and external vendors.
  • Ad-Hoc Flexibility: Complete unexpected administrative or financial tasks to support the team as required.


Requirements and Qualifications

  • Software Skills: Basic Microsoft Excel data entry and Google Workspace proficiency (Drive, Sheets, Forms).
  • File Management: Experience organizing professional digital folders within SharePoint and Google Drive.
  • Adaptability: No prior APLOS experience is required, but you must be able to learn it quickly.
  • Core Strengths: Strong attention to detail, accuracy in data entry, and excellent communication skills.
  • Experience: Previous administrative or clerical experience is preferred; nonprofit familiarity is a plus.

Salary

$23 - $23 per hour
