Description

adeo is a brand and marketing agency experiencing rapid growth, and increasing project complexity. We’re seeking a Project Manager who can help shape and scale our systems, improve collaboration, and strengthen communication across leadership, creative, and client teams.

This isn’t just about managing timelines, it’s about creating a culture of trust, accountability, and predictability. The right candidate will be highly organized, emotionally intelligent, and unafraid to bring order to ambiguity. You’ll serve as the connective tissue between strategy, creative, and client delivery—ensuring that processes work, people feel supported, and projects stay aligned with scope, budget, and vision.

We’re looking for a steady, proactive leader who can anticipate problems and maintain composure under pressure. Someone who knows how to get great work across the finish line without overwork, micromanagement, or burnout.

What You’ll Do

Project Management

  • Oversee the day-to-day execution of multiple projects across branding, marketing, digital, and strategic communications.
  • Develop, manage, and enforce project timelines, deliverables, and workflows that prevent last-minute chaos and ensure quality.
  • Implement project plans that clearly define ownership, decision rights, and feedback loops to reduce confusion or rework.
  • Manage budgets, scope, and resourcing—identifying and escalating misalignment early.
  • Build clarity and accountability around client deliverables, approvals, and revisions.
  • Implement structure around file management, QA checklists, SOPs, and client playbooks to support consistency and scale.

Client & Team Collaboration

  • Serve as a central point of contact between clients, creative teams, and leadership.
  • Lead client discussions, setting clear expectations on deliverables, timelines, and objectives.
  • Build trusted client relationships while protecting the creative team’s focus and time.
  • Ensure work meets quality and brand standards while still empowering creative autonomy.
  • Create feedback frameworks that allow for constructive input without undermining confidence or ownership.
  • Collaborate with designers, developers, strategists, writers, external partners, and vendors to ensure alignment on project goals.

Process & Leadership Support

  • Reestablish and uphold regular project check-ins and leadership syncs to maintain alignment and flow of communication.
  • Create calm and clarity amid changing priorities; bring objectivity and accountability to high-pressure projects.
  • Identify gaps in communication, workflow, and decision-making — and proactively suggest solutions.
  • Support leadership in setting realistic workloads and sustainable delivery rhythms that prevent burnout.
  • Own and evolve project management tools including ClickUp, Harvest, Klaviyo, and Slack.
  • Regularly review budgets, scopes, expenses, and time tracking to provide leadership with data-driven insights.

Experience & Skills Required

  • 7+ years of experience in project management at a marketing, branding, or creative agency.
  • Demonstrated ability to manage multiple complex projects and personalities in a high-growth environment.
  • Deep understanding of agency operations, PM fundamentals, and leadership communication dynamics.
  • Proven success improving processes, alignment, and team culture in fast-moving organizations.
  • Strong ability to balance empathy with accountability — you can listen, mediate, and still get things done.
  • Financial acumen: Experience managing budgets, utilization, forecasting and profitability metrics.
  • Tech-savvy: Strong proficiency with ClickUp, Harvest, HubSpot, Google Workspace, Excel, and AI tools like ChatGPT.
  • Strong written, verbal, and presentation skills to effectively communicate with clients and internal teams.
  • Proactive, hands-on, and calm under pressure. Comfortable rolling up sleeves for hands-on work.
  • Incredible organization and attention to detail—you anticipate problems before they arise.
  • Bonus: Experience developing QA or review systems for creative deliverables (design, copy, or packaging).
