Job Type – Full-time Employee

Salary Range- $35,000-$40,000

Bonus – Incentive Pay/Bonus Structure 

Work Setting – Remote in Oklahoma Home Office

Job Summary

Accelerate Wound Care is a well funded, early stage healthcare group seeking a Clinical Office Coordinator to provide administrative expertise to ensure all patients receive high quality, efficient care. Our amazing team works hard to support each other and we are seeking a phenomenal addition, like you, who feels patient care is as meaningful as we do.  Monday – Friday, no weekends or major holidays.

Goals & Worker Activities

  • Overseeing all day-to-day administrative activities for healthcare group
  • Schedule nurses in a manner that balances regional demand for services with appropriate numbers of providers per region.
  • Monitor and audit nurse charting data to ensure accuracy and timeline compliance to minimize delayed charting impact on AR; develop reports to summarize average timing of chart entries by each provider.
  • Communicate medical results to patients under clinical supervision 
  • Ensures facility’s office supplies and clinical/medical supply inventory is current and replenished as needed.
  • Prepares patient profiles and schedules for next business day including printing, hi-lighting needed information and organizing by provider. 
  • Ensures all related chart information is current and documentation needed is available.
  • Scan and file documents into electronic patient records such as hand completed forms. 
  • Monitor check preparation process – receive, verify and process internal check requests.
  • Performs medical reception/clerical duties as needed including answering telephones, screening calls, taking messages, pulling patient information, copying, faxing and filing.
  • Answer incoming calls to triage and schedule appointments for therapy services and/or take complete and accurate messages. Ensures that related follow-up work is completed timely, (same day or by next day) including relaying messages to clinical staff to return calls.
  • Assisting with recruitment, consenting, screening and enrollment of personnel
  • Support planning onsite visits for Senior Medical Director with development/marketing team(s) to support positive brand image and infiltrate market. 
  • Support marketing team with development of patient/facility satisfaction surveys to improve services and track feedback for areas of improvement/decline.
  • Attend and contribute to departmental meetings.
  • Such other duties and responsibilities as assigned by the Company.

Knowledge/Skills & Abilities

  • Proven work experience as a Clinical Coordinator or similar role
  • Innovative thinker with strong conceptual and problem-solving skills
  • Meticulous attention to detail with the ability to multitask
  • Strong organizational, administrative and planning skills
  • Expertise in working under pressure and reacting effectively to emergency situations
  • Ability to work both independently and as part of a team
  • Experience with Google Workspace and Microsoft Suite
  • Relevant training and/or certifications as a Clinical Coordinator
  • Familiarity with medical practices terminology
  • Ability to communicate effectively with patients, clinical and administrative staff, and the public
  • Ability to interpret, adapt and apply guidelines and policies and procedures

Education & Experience

  • High school diploma or equivalent required; Bachelor's degree preferred - 2 years of relevant experience required.
  • Graduate from a recognized training facility for medical assistants and course-work in healthcare office management are preferred
  • RMA, CMA or LPN certificate is beneficial  
  • Minimum 1- 2 years Administrative Assistant/Medical Office preferred as well as relevant work experience as a Medical Assistant in a medical/physician's office preferred.
  • Clinical administrative experience preferred 
  •  Experience creating and maintaining scheduling for multiple people preferred 
  • Ability to multi-task and change direction midstream 
  • Home Office Requirements: Computer equipment, Reliable high-speed internet service and Private and secure workspace
