In-Office Program Assistant — 245D Waiver & ICS Services Aalto Homecare | $27/hour | Mon–Fri, 9 AM–5 PM, in-office Supports day-to-day operations for our 245D Waiver and ICS programs — client and family communication, billing/payroll support (including our EVV system, Caretap), employee scheduling and management support, tour coordination, and helping grow the agency. Bilingual candidates strongly preferred (Somali highly valued; Swahili, Amharic, or Spanish also valued) given our diverse client base. Requires meeting MN DHS's Designated Manager qualification standard (a degree + direct care experience, or an alternative combination, plus 3 years of supervisory experience).
• Serve as a primary point of contact for clients, families, referral coordinators, and case managers regarding 245D Waiver and ICS services
• Support day-to-day billing and payroll processes, including accurate tracking through our EVV/clock-in-clock-out system (Caretap)
• Assist with employee scheduling, onboarding paperwork, and day-to-day staff management support
• Coordinate and help host scheduled tours and client intake meetings
• Maintain accurate, compliant client and program documentation
• Support agency growth initiatives, including referral relationships and community outreach
• Provide direct communication and, where applicable, informal interpretation support for clients and families
• Assist leadership with administrative tasks tied to running and growing the agency
• Bilingual fluency strongly preferred — Somali highly valued; Swahili, Amharic, or Spanish also valued, given our diverse client population
• Real-world, hands-on experience with payroll systems, billing processes, and employee management
• Strong client-facing communication skills, in person and by phone
• Demonstrated experience contributing to the growth or operations of a company or program
This position requires meeting Minnesota DHS's Designated Manager qualification standard under Minnesota Statute §245D.081, which requires one of the following combinations of education and direct care experience:
• A bachelor's degree in a field related to human services, education, or health, plus 1 year of full-time direct care work experience; or
• An associate degree in a field related to human services, education, or health, plus 2 years of full-time direct care work experience; or
• A diploma in a field related to human services, education, or health from an accredited postsecondary institution, plus 3 years of full-time direct care work experience; or
• A minimum of 50 hours of education/training related to human services and disabilities, plus 4 years of full-time direct care work experience
In addition, candidates must have:
• A minimum of 3 years of supervisory-level experience in a program that provides care or education to vulnerable adults or children (Minn. Stat. §245D.081, Subd. 3(b))
• Monday through Friday, 9:00 AM – 5:00 PM
